Short answer: most owner-operated trades, service, and light-production businesses fit well in 1,500–3,000 square feet. Below about 1,200 SF you are usually buying storage rather than a workspace, above about 5,000 SF you are usually paying for volume you will not use for years.
The reliable method is to size three things separately, vehicles, inventory, and work area, then add circulation space. That is the arithmetic below.
The three things that actually eat space
People size a space by imagining their stuff in it. That fails because the biggest consumer of square footage is usually the empty floor you need to move around. Break it into three buckets:
1. Vehicles and equipment that must be indoors
This is almost always the largest single item and the most commonly underestimated. Rough footprints:

- Vehicle on a lift (automotive): plan 350–450 SF per bay including working room on all sides.
Ask honestly which of these actually need to be inside. A truck parked on a paved lot costs nothing, a truck parked indoors costs several hundred dollars a month in rent. Many businesses only need equipment and materials inside, not vehicles. And that changes the size requirement substantially.
2. Inventory and materials
Think in pallet positions and shelf runs, not cubic feet of stuff. A standard pallet occupies about 13 SF on the floor, but with aisle access budget 25–30 SF per floor-level pallet position. Wall shelving is far more efficient: a 20-foot run of racking consumes roughly 40–50 SF of floor while holding several times what the same floor area would stacked loose.
3. Work area
The zone where the actual job happens, benches, assembly, staging, packing. This is the part people forget to budget and then resent losing. A single workbench station with room to work needs 100–150 SF. A staging area for loading and unloading needs 200–400 SF to be genuinely usable.
Then add circulation. Once you have totalled the three buckets, add 25–30% for walking paths, door swing, and the clear lane you need to actually get equipment in and out. A space with no circulation allowance looks fine on paper and is unusable in practice.

Working the arithmetic on a real unit size. A 1,950 SF flex unit with a finished office and bathroom leaves roughly 1,500–1,600 SF of open warehouse after the office and bath are subtracted. One realistic allocation for a contractor:

That is a working shop with margin, not a space packed to the walls. Where 1,950 SF stops working: storing more than about eight to ten floor-level pallets, needing three or more vehicles inside simultaneously, running multiple large machines that each need clearance, or requiring dock-height loading.
Height matters as much as floor area
Two numbers change capacity more than square footage does, and neither appears in the SF figure:
- Clear height determines how high you can rack. Going from floor stacking to three-level racking can roughly triple storage capacity in the same footprint. Vertical space is the cheapest square footage you will ever get.
- Door height determines what can physically enter. A 14-foot door admits enclosed trailers, dump trailers, box trucks, lifted vehicles, and most towable equipment. A 10-foot door does not. And no amount of floor area fixes a door your trailer will not clear.
When you tour a space, bring the tallest and longest thing you own. Measure the door opening yourself. This is the single most common post-signing regret, and it takes two minutes to avoid.
Four common sizing mistakes
- Sizing for peak instead of typical. If one month a year needs 40% more space, solve that month with temporary overflow storage, not with twelve months of rent on space that sits empty.
- Forgetting circulation. Adding up equipment footprints without movement lanes produces a number that is 25–30% too small every time.
- Assuming vehicles must be indoors. Often the cheapest fix. Paved outdoor parking costs a fraction of conditioned indoor space.
- Leasing for a five-year projection. Growth is a forecast, rent is a certainty. Size for 18–24 months and ask about expansion options instead.
When you genuinely should size up
Some signals mean the next tier really is the right answer:
- You are turning down work because you cannot stage or store materials.
- Loading out takes more than about fifteen minutes because everything has to be shuffled.
- You are paying for offsite storage and a shop. That combined cost usually beats one larger space.
- You need dock-height loading, which is a building feature, not a size problem.
- Employee count has outgrown one bathroom and one office.
If two or three of those are true, look bigger. If none are, you probably need better organization and vertical racking, not more rent. Also worth asking whether adjacent units can be leased together. That is often a cheaper path to more space than moving.
